CarBookingClub.com is operated by TravelOgent LLC (“CarBookingClub”, “we”, “us”, or “our”). We help travellers search, compare, and reserve rental vehicles supplied by independent car rental companies.
Your privacy is important to us. This Privacy Policy explains what information we collect when you use our website or speak with our reservations team, how we use and share that information, how long we keep it, and the choices available to you. It applies to CarBookingClub.com and to the phone, email, and chat channels we use to take and support bookings.
By using our website or making a reservation through us, you accept the practices described in this policy. If you do not agree with it, please do not use the site.
1. Information we collect
What we collect depends on how you interact with us.
Information you give us
- Identity and contact details — your name as it appears on your driving licence, postal address, email address, and telephone number.
- Driver details — driving licence number and issuing state or country, date of birth or age band, and the same details for any additional driver added to a reservation. Some suppliers also require passport or national ID details for international rentals.
- Reservation details — pickup and drop-off locations, dates and times, vehicle class, flight number where a rental is tied to an arrival, and extras such as child seats, GPS units, or protection products.
- Payment information — cardholder name, billing address, and the card details needed to take payment or authorise a deposit. Card data is captured and processed by our payment processor; we do not store complete card numbers on our own systems.
- Correspondence — the content of emails, chat transcripts, support requests, review submissions, and calls, including recordings where a call is recorded for quality and training purposes.
Information we collect automatically
- Device and browser type, operating system, screen size, and language settings.
- IP address and the approximate location derived from it.
- Pages viewed, searches run, links clicked, time spent on the site, and the page or advertisement that referred you to us.
- Cookies and similar technologies, described in our Cookie Policy.
Information we receive from others
- Rental suppliers and reservation systems, which confirm, amend, or cancel bookings and report no-shows, damage claims, and charges applied at the counter.
- Payment processors and card networks, which confirm authorisations, declines, chargebacks, and fraud signals.
- Advertising and analytics partners, which provide aggregated campaign and traffic measurement.
2. How we use your information
- To search availability, quote prices, and place, confirm, modify, or cancel a rental reservation with the supplier you select.
- To pass the driver and reservation details the supplier needs in order to release a vehicle to you at the counter.
- To take payment, hold or release deposits, issue refunds, and investigate billing disputes and chargebacks.
- To send booking confirmations, vouchers, pickup reminders, change notices, and other service messages about a reservation you have made.
- To answer questions, resolve complaints, and support you before, during, and after a rental.
- To detect, investigate, and prevent fraud, misuse of the site, and activity that breaches our Terms & Conditions.
- To understand how the site is used so we can improve search results, page layout, and the booking flow.
- To send marketing about rental deals and offers, where you have asked for it or where we are otherwise permitted to do so, and always with a way to opt out.
- To comply with law, tax and accounting obligations, and lawful requests from public authorities.
3. Marketing and communication preferences
Service messages about a reservation you have made are not marketing, and we will keep sending them for as long as the booking is active. Marketing is different, and you control it.
- Email — use the unsubscribe link in any marketing email, or contact us using the details in section 12.
- Phone and SMS — where you have given consent to be contacted by call or text about rental offers, you can withdraw it at any time by telling the agent, replying STOP to a text message, or contacting us. Consent to marketing calls or texts is never a condition of making a booking. Message and data rates may apply.
- Postal mail — contact us and we will remove you from any mailing list.
Opt-out requests are actioned promptly, though a message already in production may still reach you shortly afterwards.
4. How we share your information
We do not sell your personal information for money. We share it only as set out below.
- Rental suppliers — the car rental company you book with, and the reservation systems that connect us to them, receive the details needed to hold and release your vehicle. Once your booking reaches the supplier, the supplier handles that information under its own privacy policy, which we do not control.
- Payment processors and financial institutions — to charge your card, hold or release a deposit, process refunds, and respond to disputes.
- Service providers — hosting, email delivery, telephony and call recording, customer support tooling, analytics, and fraud prevention vendors, acting on our instructions and bound to protect the information they handle for us.
- Advertising and analytics partners — where you allow advertising or analytics cookies, these partners may receive online identifiers and browsing activity and may use them to measure campaigns and show you relevant advertising on other sites. Under some state privacy laws this counts as “sharing” or a “sale” of personal information, and you can opt out as described in section 9.
- Legal and safety — where we are required to disclose information by law, court order, or a lawful request, or where disclosure is necessary to establish or defend legal claims, enforce our terms, or protect the rights and safety of travellers, our staff, or the public.
- Business transfers — if TravelOgent LLC is involved in a merger, acquisition, financing, or sale of assets, customer information may be transferred as part of that transaction, subject to this policy.
5. Cookies and tracking technologies
We and our partners use cookies, pixels, tags, and similar technologies to keep the site working, remember your search preferences, measure traffic, and support advertising. You can control most of these from the cookie banner or your browser settings. Our Cookie Policy explains each category and how to manage it.
6. Payment security
Payment pages are protected in transit with industry-standard TLS encryption, and card data is handled by PCI-DSS compliant payment processors. Access to reservation records inside our business is limited to staff who need it to do their job.
No method of transmitting or storing data over the internet is completely secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security, and you send information to us at your own risk. If you believe your account or booking details have been compromised, contact us immediately.
7. How long we keep your information
We keep reservation, payment, and correspondence records for as long as needed to provide the service and then for the period required by tax, accounting, consumer protection, and dispute resolution obligations — typically several years after your rental ends. Marketing records are kept until you opt out. Records held only for analytics are kept in aggregated or de-identified form where practical.
8. Children
Our website is intended for adults. Rental suppliers require drivers to meet minimum age requirements, and our services are not directed to children. We do not knowingly collect personal information from anyone under 13. If you believe a child has provided us with personal information, contact us and we will delete it.
9. Your privacy rights
Depending on where you live, you may have some or all of the following rights:
- To request a copy of the personal information we hold about you and details of how we use it.
- To ask us to correct information that is inaccurate or incomplete.
- To ask us to delete information we no longer need to keep.
- To object to or restrict certain processing, including direct marketing.
- To opt out of the sale or sharing of personal information and of targeted advertising.
- Not to be discriminated against for exercising any of these rights.
California residents may exercise rights under the California Consumer Privacy Act, including the right to know, delete, correct, and to opt out of the sale or sharing of personal information. Nevada residents may submit a request not to have covered information sold. Residents of other states with comprehensive privacy laws have comparable rights.
To exercise a right, contact us using the details in section 12 and tell us which right you want to exercise. We will verify your identity, usually by matching the details you give us against an existing reservation, before we act. An authorised agent may submit a request on your behalf with written permission. Some information must be retained even after a deletion request — for example, records we are legally required to keep.
10. Third-party websites
Our site links to rental supplier sites, payment pages, mapping tools, and other third-party services. Those sites are controlled by other companies and have their own privacy policies. We are not responsible for their content or their handling of your information, and we encourage you to read their policies before providing personal details.
11. Changes to this policy
We may update this Privacy Policy to reflect changes in our services, technology, or legal obligations. The revised version takes effect when it is posted on this page, and the “Last updated” date above will change. Please review this page from time to time. Continued use of the site after an update means you accept the revised policy.
