The terms that apply when you use CarBookingClub.com.

These Terms & Conditions govern your use of CarBookingClub.com and any reservation you make through us. The site is operated by TravelOgent LLC (“CarBookingClub”, “we”, “us”, or “our”). By using the site, contacting our reservations team, or completing a booking, you agree to these terms. If you do not accept them, please do not use the site.

Please read section A carefully. CarBookingClub is a booking agent. The vehicle is supplied, and the rental agreement is signed, with an independent car rental company whose own terms also apply to your rental.

A. Our role and general disclaimer

CarBookingClub acts as an intermediary between you and independent car rental suppliers. We do not own, operate, maintain, or insure any vehicle, and we do not employ counter staff. Every rental is provided under a rental agreement between you and the supplier, signed at the counter at pickup.

  • The supplier is responsible for vehicle availability, condition, roadworthiness, cleanliness, servicing, insurance, roadside assistance, and everything that happens during your rental.
  • We are not liable for a supplier’s acts, omissions, delays, closures, overbooking, refusal to release a vehicle, or failure to honour a reservation, except to the extent caused by our own error in handling your booking.
  • We are not liable for loss caused by events outside our reasonable control, including weather, natural disasters, road closures, strikes, industrial action, civil unrest, government action, epidemics, mechanical breakdown, accidents, or flight delays.
  • Rates shown on the site are supplied by rental companies and reservation systems and can change without notice until a booking is confirmed. We do not warrant that every rate, image, vehicle description, or location detail on the site is complete, current, or error-free.
  • Vehicle images and model names are illustrative. You reserve a vehicle class, not a specific make or model. The supplier allocates a car from that class, or from a similar or higher class, at pickup.
  • Where a price is quoted in a currency other than the one your card is issued in, the final amount charged depends on your bank’s exchange rate and any foreign transaction fee. That difference is a matter between you and your bank.
  • We do not endorse any third-party advertiser, product, or website linked from our pages.

B. Use of our website

  • You must be at least 18 years old and legally able to enter into a binding contract to use this site. Minimum driver age is set by each supplier and location and is often higher.
  • The information you give us — including driver name, age, licence details, contact details, and payment details — must be current, true, accurate, and complete. Bookings are released against the driver’s identification at the counter, and a mismatch can cause the supplier to refuse the vehicle with no refund.
  • You may use the site only to search for and make legitimate reservations. Speculative, false, duplicate, or fraudulent bookings are prohibited, as are scraping, automated querying, reverse engineering, unauthorised framing, and any attempt to interfere with the site’s operation or security.
  • We may refuse access, decline a booking, or cancel a confirmed reservation where we detect suspected fraud, payment abuse, misuse of a discount, or breach of these terms.
  • You are responsible for losses we incur as a result of fraudulent or unauthorised use of a payment card or of this site through your actions, including supplier charges, chargeback costs, and reasonable legal costs.
  • All content on this site — text, layout, graphics, logos, and code — belongs to TravelOgent LLC or its licensors and may not be copied or reused commercially without written permission. Third-party brand names appear for identification only.

C. Rental supplier rules and restrictions

Each supplier sets its own rental conditions, and those conditions form part of your contract. Read them on the booking page before you pay. They commonly cover:

  • Driving licence — a full, valid licence held for a minimum period, presented in physical form at the counter. Many locations require an International Driving Permit alongside a non-English licence.
  • Minimum and maximum age — drivers under 25, and in some cases over 70, may face surcharges, vehicle class restrictions, or refusal.
  • Payment at the counter — most suppliers require a credit card in the main driver’s own name for the security deposit. Debit cards, prepaid cards, and cash are often restricted or refused, and additional identification may be demanded.
  • Security deposit — an amount held on your card for the rental period and released after the vehicle is returned. Release timing is set by your bank.
  • Mileage — unlimited on many rentals, capped on others, with an excess charge per mile beyond the allowance.
  • Geographic limits — restrictions on crossing state or national borders, and on unpaved roads, ferries, and certain regions.
  • Fuel and charging policy — usually like-for-like return; refuelling or recharging by the supplier carries a service charge.
  • Additional drivers, child seats, and equipment — must be declared and paid for at the counter. An undeclared driver is uninsured.
  • Prohibited use — ride-hailing or commercial passenger use, towing, racing, off-road driving, subletting, and driving under the influence, any of which voids protection cover.

If you do not meet a supplier’s requirements at pickup, the supplier may refuse the vehicle. In that situation, the booking is normally treated as a no-show and no refund is due.

D. Our booking process

  • Submitting a booking request is an offer to reserve. It does not create a contract on its own.
  • An email acknowledging your request is a receipt, not an acceptance. Your reservation is confirmed only when payment (or the required deposit) has been taken and the supplier has returned a confirmation or voucher with a reservation number.
  • Very occasionally a supplier cannot honour a request after it is submitted — because the vehicle class sold out or the rate was withdrawn. In that case we will offer an alternative or cancel the request and return any amount taken in full.
  • Bring your confirmation or voucher, your driving licence, and the payment card used for the booking to the counter. Check the vehicle for existing damage before leaving and make sure it is recorded on the rental agreement.
  • The lead driver’s name on the reservation cannot be substituted for a different person after confirmation on most rates. Changes to dates, times, locations, or vehicle class are subject to availability and to the supplier’s rules, and may re-price at the current rate.

E. Pricing, taxes, fees, and payment

  • Prices are quoted in US dollars unless stated otherwise, and the total shown before payment includes the rental rate together with the taxes and fees the supplier discloses to us at the time of booking.
  • Some charges are payable directly to the supplier at the counter and are not included in your prepaid total. These commonly include the security deposit, young or senior driver surcharges, additional driver fees, optional protection products, child seats and equipment, fuel or charging charges, tolls and toll-transponder fees, cross-border fees, one-way drop fees, airport concession and facility charges, and any local taxes collected on site.
  • We accept major credit and debit cards. The billing address you give us must match the address held by your card issuer.
  • Full payment or an authorised deposit is required to confirm a booking. If a payment is declined or later reversed, the reservation may be cancelled.
  • You authorise us to charge the card provided for the booking total and for any amount you approve afterwards, such as an agreed change fee.
  • Displayed rates are dynamic and can change at any time before a booking is confirmed. Once confirmed, the prepaid element of your rate is fixed except where a change is made at your request or a supplier applies charges at the counter.

F. Our service fees

  • We may charge a service fee for arranging, servicing, and supporting your reservation. Where a fee applies it is shown to you before you authorise payment and forms part of the total you approve.
  • A post-booking service fee may apply when you ask us to change or cancel a confirmed reservation. The amount is quoted to you before we act, and it is separate from any charge the supplier imposes under its own rate rules.
  • Our service fees cover work we have already carried out and are non-refundable once a booking has been confirmed, including where a supplier later cancels or you do not take up the rental.

G. Pickup, no-shows, and returns

  • Arrive within the grace period stated by the supplier. Counters at airports and downtown locations keep different hours, and out-of-hours pickup may not be possible.
  • If you do not collect the vehicle and have not cancelled beforehand, the booking is a no-show and the full prepaid amount is normally forfeited.
  • Returning a vehicle early does not usually generate a refund for the unused days.
  • Late returns are charged by the supplier, often at a higher daily or hourly rate, and may trigger additional day charges.
  • Damage, loss, traffic fines, toll charges, congestion charges, cleaning fees, lost-key charges, and administration fees arising during your rental are settled directly between you and the supplier under the rental agreement you sign.

H. Cancellations, modifications, and refunds

Cancellation and refund rights depend on the rate you book. Free-cancellation rates can normally be cancelled up to a stated deadline; prepaid and discounted rates may be partly or wholly non-refundable from the moment they are confirmed. I. Insurance and protection products

Any protection product — collision damage waiver, theft protection, supplemental liability, personal accident cover, or an excess reduction — is a product of the supplier or its insurer, not of CarBookingClub. Cover levels, exclusions, and excess amounts are set out in the supplier’s documentation. We do not provide insurance advice, and we are not a party to any protection contract you buy. Check whether your own motor policy, travel insurance, or credit card benefit already covers a rental before purchasing cover at the counter.

J. Limitation of liability

To the fullest extent permitted by law, TravelOgent LLC is not liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profit, enjoyment, or opportunity, arising from your use of this site or from any rental. Where we are found liable, our total liability for any claim is limited to the service fees we received from you for the reservation in question. Nothing in these terms excludes liability that cannot lawfully be excluded.

K. Indemnity

You agree to indemnify TravelOgent LLC, its officers, employees, and agents against claims, losses, and reasonable costs arising from your breach of these terms, your breach of a supplier’s rental agreement, or your misuse of this site.

L. Governing law and disputes

These terms are governed by the laws of the State of New York, without regard to its conflict-of-law rules. Any dispute arising from these terms or your use of the site is subject to the exclusive jurisdiction of the state and federal courts located in the State of New York. Before starting formal proceedings, please contact us so we can try to resolve the matter directly.

M. Changes to these terms

We may revise these Terms & Conditions at any time. The revised version applies from the date it is posted on this page, and the “Last updated” date will change. The terms in force when you made a booking continue to apply to that booking.
